Position Summary
1st Receptionist supervises the reception area, manages guest services, and performs administrative duties like check-ins/check-outs, managing accounts, handling mail, and resolving guest issues. Supports Hotel Manager with administration.
Essential Duties and Responsibilities
Operational
- Manage daily front office operations efficiently, ensuring smooth guest service and team performance.
- Conduct staff trainings, coordinate schedules, and supervise front desk personnel.
- Assist the Hotel Manager when required.
- Prepare and submit port reports for arrivals and departures.
- Oversee the onboard boutique, ensuring proper management and standards.
- Monitor and control daily account closings handled by the night auditor.
- Support cruise preparations and cruise closings, including invoice checks, credit card settlements.
- Prepare staff duty schedules in compliance with legal requirements.
- Ensure the front office team is familiar with all docking locations and shore excursions.
- Conduct monthly inventories and manage stock control.
- Handle guest complaints professionally.
- Distribute relevant information within the team and to other departments.
- Manage onboarding and documentation for new crew members.
- Evaluate front desk staff performance with the assistance of the Hotel Manager.
- Prevent unauthorized access to the vessel.
- Maintain and update AGE control panels and the safety book.
- Update safety roles and in-port manning lists.
Training & Development
Attend all meetings, training activities or classes related to assigned position as required.
Financial
- Promote Shop items to the guests.
- Handle guests accounts with outmost care.
Safety Responsibilities
- Maintain a safe and sanitary environment for all guests and crew members.
- Always follow proper procedures and instructions to prevent damage of any kind of ship or company property.
- Know and comply with the European sanitation program and regulations pertaining to his/her working area.
- Participate in safety drills as required.
- Participate in safety training as required.
- Identify and report any potential safety hazards immediately.
Other Duties and Responsibilities
- Assist with monthly inventories and other administrative tasks as instructed by supervisors.
- Collaborate with other departments to ensure smooth and efficient operations across the ship.
- Perform additional duties as assigned, including luggage handling, loading, and garbage off-loading.
- As assigned and instructed by supervisor.
Qualifications
Knowledge, experience, skill, and/or ability
Required
Required
- Previous experience as a Receptionist.
- Excellent command of spoken and written English.
- Strong computer skills, including MS Office.
- Experience in bookkeeping, accounting, ordering, and inventory control.
- Able to remain calm and effective under pressure.
- Comfortable working in multicultural environments.
- Highly organized, disciplined, and dependable.
- Strong problem-solving and complaint management skills.
Preferred
- Knowledge of additional language, preferably German.
